The Senior Enrollment Services Specialist will assist students, parents, executive staff, administrators, faculty, and community members with answering and responding to their questions regarding admissions, records and registration procedures for in-person, online, fax, mail, and telephone transactions and inquiries. Work directly with First-Time, Continuing, Returning, Transfer, Visiting, English as a Second Language, International, Early Credit students, and students in the RVCC Workforce programs, in helping them with their enrollment process. Aids in the performance of all department functions, including but not limited to processing registrations, enrollment verifications, address and name changes, grade changes, Parchment account creation and transcript ordering questions, basic student technology assistance and guidance, course cancellations, changes in instructional mode, and parts of term.
Duties & Responsibilities:
Provide a high level of customer service in assisting students with admission, records and registration procedures, basic financial aid application procedures, basic finance questions, and serve as a liaison between the RVCC technology services Department and the student. Develop and maintain a working knowledge of the services provided by the Student Enrollment Center and other College departments in order to respond to inquiries appropriately and accurately; and assist with updating departmental procedures.
Exercise judgment in evaluating registration holds and academic standing to make appropriate referrals to Advising & Counseling Services, Dean of Student Services, Disability Services, Educational Opportunity Fund students, Financial Aid, faculty/department chairs, Student Activities, Testing Center and other College departments.
In collaboration with Assistant Registrar, provides basic training and guidance based on processes and procedures for Tier I employees in the Student Enrollment Center, insuring that information conveyed to students and others is consistent and correct, while modeling and patterning the characteristics of excellent customer service. Work with Assistant Registrar to provide suggestions for future specific, higher-level, departmental or collegewide training.
Resolves student duplicate PIDM occurrences, combining all student information in to the correct account, designating the Bad Record in Banner, and notifying Admissions, Enrollment Services, Financial Aid, Advising, Counseling & Transfer Services, and the Finance Office of correct student account number.
Responsible for the course cancellation process, including batch deregistration of students, and notifying the Academic Administrative Assistant that the cancellations have been processed in Banner.
Assists Academic Administrative Assistant with changes in course instructional mode (ex. Face-to-face vs Remote SYNC) or part of term (ex. Full-term vs late start), including de-registering students, removal of registration records, and re-registration of students.
Evaluate & Update College Transcripts - review of math & English placement for exemptions and pre-requisites. When applicable update students record in SOATEST and SOAHOLD. Provide to Transfer Articulation & Graduation Associate for full transcript evaluation for courses.
Utilize the Parchment auxiliary system to monitor and process transcript requests, and to both send/receive transcripts.
Evaluate pre-requisite requirements for coursework at RVCC by reviewing course descriptions from other colleges to determine equivalences.
Merge ALVA classes with Banner classes so that a student's record is complete, which includes course description, and grade.
Monitoring registrar email, and responding to/carrying out tasks driven by those who submit registrations and other information to that site.
Work with other campus constituencies (such as Technical Services, webmasters and faculty) to troubleshoot problems that students may experience in the process of registering for courses and other enrollment-related transactions.
Have general knowledge of General Data Protection Regulation (GDPR) and Family Education Rights and Privacy Act (FERPA).
Assist in preparations for commencement.
Perform general office duties, including completion of work orders, ordering supplies, appointment scheduling.
Assist the Registrar and Assistant Registrar with special projects and aid when necessary.
Perform other related duties, as assigned by supervisor.
Requirements:
Associate degree and/or at least 5 years of excellent customer service or administrative assistant skills as demonstrated by related successful work experience.
Ability to communicate effectively, orally and in writing, with a diverse student population, college employees, and the community in general.
Strong organizational and problem-solving skills.
Computer proficiency using Microsoft Office. Excellent data entry and software application skills.
Detail oriented individual and the ability to multi-task in a high-volume setting.
Strong commitment to the mission of a comprehensive community college.
Preferred Qualifications:
Experience with Banner Software.
Bilingual.
Knowledge of and facility with internet navigation, including email.
Related work experience in an education or human services environment.

Physical Demands:
Requires sitting, standing, bending, kneeling and/or crouching, walking, and climbing.
Looking at and utilizing dual computer monitors.
Occasionally move and lift up to 20 pounds.
Schedule:
Full time position (12 months - 37.5 hours per week). Office hours are 8:30 am to 5:00 pm Monday-Friday. Possible extended hours based on peak times. Blackout periods (no vacation or time off) apply during the two (2) week prior and two (2) weeks after the start of the semester.
