The Accounting Associate III collaborates with other members of the HRS team, comprised of the following services: Benefits, Payroll, Employee & Labor Relations, Compensation, Recruitment, Accounting, Communications and Employee Wellness. The Accounting Associate III is responsible for support operations through organization, clerical, administrative support and accounting functions. This position provides oversight and consulting on the processes and information needed to ensure that the correct data and procedures are completed for accurate paychecks. The Accounting Associate III provides information to employees regarding deductions, accounting services for campus departments, and processes extra compensation.
Key duties and responsibilities of this position include:
Processes department invoices in Griz Mart and Banner and corresponding remittances.
Prepares and enters journal vouchers to allocate payroll expenses appropriately.
Ensures all payroll liabilities are paid in a timely manner.
Allocates Procard charges monthly to the appropriate expense accounts and ensures compliance
Ensures that **MEMBERS ONLY**SIGN UP NOW***. is in compliance with all laws in regard to the employment of Non-residents
Develops and maintains comprehensive training materials for areas of responsibility to include testing and review of any new software
Calculates employees' average hours for health insurance eligibility according to the ACA (Affordable Care Act) laws and regulations.
Assists with the annual ACA review for employees eligible for health insurance at the beginning of the MUS Benefits Plan
Processes E-verify and ensure accuracy of Form l-9's. Provides training for E-verify to our office personnel and affiliate campuses.
Provides instructions to department personnel and affiliate campuses in regards to the completion of the Form I-9 to ensure **MEMBERS ONLY**SIGN UP NOW***. is compliant with Homeland Security
Prepares the deposit for retiree health insurance payments, wage over payments, jury duty expense abatement and miscellaneous payments sent to HRS
Assists Finance Manager with reviewing/approving Griz Mart Carts for Contract Services under $5000 to ensure compliance with **MEMBERS ONLY**SIGN UP NOW***.'s IRS Regulations for Independent
Assists the Accountant Analyst position with preparing tax deposits as necessary each payroll
Review reports of any additional taxable fringe benefits and verify accuracy of deduction, as well as set up and terminate the deduction in Banner for payroll.
Maintain exempt/waived deductions to ensure employee is accurately set up in Banner.
Calculate, print, and enter manual checks in Banner to correct payroll errors.
Other duties such as: processing EFT Rejects, Warrant Replacement Requests, Stale-Date Warrants, and Warrant Cancellations
Upon completion of training, the incumbent will have developed a working knowledge in the following:
Understanding of UM payroll and accounting processes and procedures.
Thorough knowledge of UM, HRS, and MUS Staff Compensation policies, practices and procedures.
Knowledge of and the ability to research and interpret University, Board of Regents, state and federal regulations, policies and procedures.
Knowledge and application of HRS values and behaviors.
Knowledge of Banner, Griz Mart, International Tax Navigator, and retirement agencies web application.
Required Skills
Experience in the operation of personal computers and a variety of software and database programs, with the ability to learn new software.
Basic understanding of generally accepted accounting principles.
Ability to work with frequent interruptions, multiple concurrent tasks, detailed work, frequent deadlines and frequent contact with people.
Ability to work closely with departmental contacts to ensure compliance with complex set of regulations.
Ability to pay attention to detail in order to achieve the highest level of accuracy, analytical and problem-solving skills
Effective communication skills, including the ability to write professional memos, emails, documents, and reports
Ability to work and contribute positively as part of the HRS team and provide support as necessary
Ability to provide exceptional customer service, while explaining complex information in a logical and clear way
Ability to maintain strict confidentiality
Ability to analyze and reconcile data in various format
Ability to create spreadsheets and databases in order to use information for tracking and analysis
Ability to diplomatically enforce relevant policies and deliver negative information with tact
Minimum Required Experience
High School graduation and three (3) years of basic bookkeeping and/or payroll experience; or an equivalent combination of skills and experience
Preferred Qualifications
Associate’s degree in accounting or other relevant field
